How to Schedule Instagram Reels (In the App and With Other Tools)

Written by the Sharevia team··3 min read

Instagram used to make you jump through hoops to schedule a Reel. Now it's built into the app, and it works well. Here's how, plus the desktop and multi-platform options.

Option 1: Schedule in the Instagram app

According to Instagram's Help Center:

  1. Tap + and choose Reel.
  2. Select your video, then edit, add audio, text and effects.
  3. Tap Next and write your caption.
  4. Tap Advanced settings.
  5. Tap Schedule (or "Schedule this post") and choose a date and time, up to 75 days ahead.
  6. Tap Done, go back, and tap Schedule.

Your scheduled Reels appear under "Scheduled content" in your profile menu, where you can reschedule, edit or delete them.

Requirement: a professional account (Creator or Business). Switch in Settings, then Account type and tools.

Option 2: Meta Business Suite on desktop

If you edit on a computer, Meta Business Suite lets you schedule Instagram (and Facebook) Reels from a browser. Upload, write the caption, pick the time, schedule. Handy for batching a week in one sitting.

Option 3: Third-party schedulers

Use one when you're posting the same content to several platforms, need team approvals, or want everything in one calendar. Options include Buffer and Metricool (both with free plans), Later, Hootsuite, and Sharevia, which we build and which can also create the Reels. Our roundup of free social media schedulers compares them.

Check that the tool supports Reels specifically (not just feed posts), custom covers, and audio.

Tips that help scheduled Reels perform

  • Choose the cover. It shows on your grid and in some feeds. A clear frame with readable text beats a random mid-motion blur.
  • Add trending audio in the app where possible; some audio isn't available for business accounts or via third-party tools.
  • Hook in the first second. Same rules as TikTok. 40 hooks to try.
  • Write a caption that adds context, plus a few relevant hashtags.
  • Be around after it posts. Replying to early comments helps, and it's the one part you can't schedule.

Cross-posting from TikTok?

Upload a clean file without the TikTok watermark; Instagram has said it reduces visibility for content with visible watermarks from other apps. Full guide: cross-posting TikTok to Reels and Shorts.

Troubleshooting scheduled Reels

A few problems come up often:

"I don't see the Schedule option." You're likely on a personal account. Switch to Creator or Business in settings. If you're already professional, update the app; features roll out by version.

"My scheduled Reel didn't post." Check Scheduled content in your profile menu. Occasionally posts fail because of audio licensing or a connectivity issue at publish time. Re-schedule or post manually.

"The audio disappeared." Some tracks aren't available to business accounts, and some third-party tools can't attach Instagram's library audio. Add audio in the app, or use original or licensed audio baked into the video.

"The cover looks wrong." Set the cover explicitly when scheduling. In third-party tools, check that custom covers are supported for Reels, not just feed videos.

Scheduling Reels and feed posts together

Instagram's grid shows Reels and photo posts side by side. If your grid matters to your brand:

  • Plan Reels covers to match your grid's look.
  • Alternate Reels and carousels so the grid isn't all video thumbnails.
  • Use a visual planner (Later is strong here) if the grid is central to how people judge your profile.

How many Reels to schedule

For most brands, three to five Reels a week, plus a couple of carousels, is a sustainable rhythm. Scheduling a week at a time keeps content fresh enough to react to trends while removing the daily scramble. See how often to post for more on finding your rhythm; the same logic applies on Instagram.

Scheduling stories

Stories have different rules. Some third-party tools can publish stories directly, and others send you a reminder to post manually. If stories are a big part of your strategy, check this before choosing a tool.

A simple weekly setup

Make all your Reels on one day, schedule them in the app or Business Suite for the week, and spend ten minutes a day on comments. If you're also on TikTok, see how to schedule TikTok posts, where the rules are different.

FAQ

Can personal Instagram accounts schedule Reels?

No. Scheduling in the app is available to professional accounts. Switching to a Creator or Business account is free and takes a minute in settings.

How far ahead can I schedule Instagram Reels?

Up to 75 days in the Instagram app.

Do scheduled Reels get less reach?

There's no evidence of that. Reach depends on the Reel itself, especially the first seconds and watch time.
